P/A Promotion Guidelines

Questions concering the promotion process in the College of Liberal Arts should be directed to the CLA Office of Human Resources (612-624-9839).


Electronic Submission of P/A Promotion Material

The material of promotion dossiers must be submitted electronically, via the college's projects drive. Submission instructions will be emailed to units closer to the deadline date.

Governing Documents

Units are responsible for developing and maintaining standards, guidelines and procedures for the promotion of P/A employees in classifications that are part of a promotional series. Department guidelines are subject to the review and approval of the college.


Guidelines for P/A Promotion Dossiers

P/A Promotion dossiers are made available to the CLA P/A Promotion and Leave Review Committee and the Dean. Final approval of the promotion is granted by the Dean and will take effect the following fiscal year.

Dossiers must be submitted electronically by unit administrators, via the CLA projects drive.

Dossier materials must be subdivided into sections, as set forth below. Each section will comprise its own pdf file. Individual sections and pdf files may include one document or multiple documents.

Section I - Candidate Materials (one PDF)

A. Curriculum Vitae/Resume

B. Candidate Narrative

  • Must be prepared by the candidate.
  • Identify major accomplishments and contributions that support requested promotion and describe how those contributions have benefitted the unit.
  • No more than 1500 words.

C. Current Position Description

  • Must include: qualifications for the position; job duties (including teaching/administrative activities); job code number; percent-time of the appointment.

D. Position Description for Proposed Promotion

  • Must include: qualifications for the position; job duties (including teaching/administrative activities); job code number; percent-time of the appointment.

E. Annual Reviews

  • Include annual reviews for current and the preceding two years.

F. Internal Evaluators

  1. Include peer evaluations of teaching or work perfomance from staff and faculty from same or other units who have observed candidate's teaching and other professional and/or administrative work.
  2. Include letters solicited from students.
  3. Include list of internal evaluators and statement of how internal evaluators were selected.
  4. Include sample letter(s) of solicitation.
  5. Two to four letters are recommended.

Section II - Reports (one PDF)

A. Unit Head Recommendation

  • Completed by the unit head.
  • Must specifically address how the candidate has met or exceeded criteria for promotion.
  • No more than 1500 words.

B. Supervisor Recommendation

  • Completed by the candidate's supervisor (if different from the unit head).
  • Must specifically address how the candidate has met or exceeded criteria for promotion.
  • No more than 1500 words.

C. Report and Recommendation from Unit's Review Committee (if applicable)

  • Include a summary of majority and minority views.
  • Must include a record of unit vote, if applicable
    (if a vote is taken, indicate a record of the vote: YES, NO ABSTENTIONS, NOT VOTING).
